Opportunity (Open Vacancy):

The role of the PA + Office Assistant at Kiki McDonough reports to the Operations Manager and Kiki McDonough.

PA duties to Kiki McDonough: 1-2 hours per day variable

  • Travel arrangements. 
  • Responding to emails. 
  • Ordering goods. 
  • Event planning. 
  • Charity partnership correspondence. 

Projects supporting different teams:

  • Responsible for continued improvements in internal workflow optimisation & efficiency.
  • Organisation of all company documents and systems.
  • Spend management across multiple areas involving supplies and petty cash management.
  • Assisting with projects big and small as they arise.
  • Responsible for organising team outings, lunches, employee incentives, employee perks.
  • Supporting different teams, i.e. stock counts, packaging levels, admin support on various projects.
  • Travel arrangements for team members.

Office Management:

  • IT equipment and supplies allocation and updating as required.
  • Employee Onboarding / Offboarding.
  • Responsible for maintaining and ordering Retail and Office Supplies​.
  • Invoices + Filing Management for finance department.
  • Inhouse problem solver for an IT challenges, with the support of the IT contractor.
  • Printer equipment management. 
  • ERP provider: Manage all open tickets to ensure they’re actioned and closed.

Contractors:

  • Day to day liaising with our IT support provider for (IT & Phones), helping to solve internal issues as they arise.
  • Monitoring of energy services for billing and resource management and ensure compliance with negotiated contract terms.
  • Ensuring risk assessments are maintained across all areas.
  • Ensuring maintenance and organisation of contracts for external partners.
  • Co-ordinate the in-house cleaning functions.
  • Being the point of contact for reactive repairs, maintenance and liaise with our external contractors to resolve.
  • Alarms, fire and security and health and safety maintenance along with Operations Manager.
  • Have a complete understanding of all CCTV systems, security systems, phone systems, door systems, fire alarm systems scheduling work and upkeep with contractors as required. 

Essential Criteria:

  • Experience in a PA role.
  • Minimum of 2 years’ experience in a facilities management or retail operations role.
  • Minimum of 2 years’ experience managing projects from inception to completion.
  • Strong systems and IT capability.
  • Ability to problem solve and evolve current systems.
  • Team player, this role will support all teams in the business.
  • Flexible and adaptable to a fast pace environment.
  • Good financial acumen.
  • Planning and Organising skills.
  • High standards and attention to detail.
  • Self-motivation.
  • Excellent listening skills.
